In 2013, our Software Development Team worked hard to deliver some incredible product enhancements to our intranet software. This lead to further improvements for our overall user experience. Some features, such as Mega Menus, were created by our team to drive the product forward with new innovative functionality. Other features, such as Form Approval Export Options, were specifically requested by our customers to improve the efficiency of their internal business processes.
The 2013 enhancements will revolutionize the way in which your employees utilize your business intranet, adding enhanced navigation, content approval and site features to an already robust Corporate Intranet. The following is a high level overview of our Top 5 Corporate Intranet Product Enhancements of 2013:
Rather than a standard, single list dropdown menu, Mega Menus allow for a “mini-page” of menu items, images and intranet content to be displayed within your intranet navigation. Mega Menus create four times the amount of space that you would find in a traditional menu layout, which provides more room to place links to your most popular intranet items and separates each item for easier usability by your employees. Mega Menus also provide an area to place large images or instructions, enabling you to highlight specific areas on your intranet for your employees to utilize.
Intranet Connections’ dynamic menu security automatically checks the current user’s intranet security permissions for items within the Mega Menus and those items the Corporate Intranet user does not have access to view, whether they be internal or external links, are hidden. Sections, or even entire Mega Menus can easily be hidden to provide an automatic, custom menu navigation experience for each user.
As the number of sub-sites, pages and documents grow, administrating the intranet can become more challenging. Intranet administration is often a part-time duty, so we’ve simplified intranet management even further to reduce time demands on administrators and contribute to your intranet success. In 2013, Intranet Connections upgraded administration screens to help streamline the process of managing content on the intranet.
At a glance, administrators can view quick stats on sub-sites, applications and pages to view which have the most and the least activity, helping you focus your time on finding ways to enhance user engagement for content on your Corporate Intranet that is not receiving as much traffic. Admin screens more clearly reflect the relationship between sites, applications and pages, making it easy to view site structure and delegate responsibility for areas of the intranet to specific department champions, removing the administrator as a bottleneck in adding new content.
For additions or edits made to critical documents such as HR policies, procedures and forms, advanced content approval through publishing workflows can now be used to ensure the proper approval process is always followed before content is published to the intranet. Advanced Content Approval allows for a content workflow to be passed through a single approval manager, approval by committee, or multi-stage approval prior to being posted to the intranet. This process ensures that content posted on the intranet meets company standards and is posted and updated within a timely manner, while removing the bottleneck of a single intranet content manager.
Our Intranet Connections Outlook Synchronization allows approval managers to receive these approval notifications within their inbox, which contains direct links to areas of the intranet and content requiring approval. This expedites the approval process and ensures content is updated quickly. If there is something wrong with the content being posted the approval manager can decline the posting, which sends an email notification back to the submitting user to make changes and then resubmit for approval. The approval history of this content is then stored on the intranet to be viewed at a later date, if required.
It is important to store the approval history of form submissions for later review, especially when dealing with sensitive information, such as expense claims, that may need to be audited. While this history is always stored in the intranet, new options to export the approval history have also been added to meet the internal process requirements of many of our customers.
When exporting the form data of multiple responses to a specific form, most of our customers use the export to Excel option. We have now included approval history data within this export function to allow for quick review of the submission approval workflow for each response. For individual responses exported as a PDF, this approval workflow information is now located at the top of the form.
We are always eager to receive feedback from our existing customers to incorporate their suggestions into our software upgrades. It is through customer feedback that we have also included upgrades to content found within approval Outlook Email Notifications. Rather than clicking on the link within the email to review approval history on a submitted form, approval history information is now contained directly within the body of the email, yielding you a valuable time-cost savings.
A homepage of an intranet contains widgets that display dynamic content from around your intranet, such as recently uploaded documents, new blog posts, employee status updates, company news and many other features. Previously, each site or sub-site contained one of these special “widget pages”, which was designated as the intranet homepage.
Administrators can now create an unlimited number of these widget pages on each site within the intranet, to allow for easy HTML content creation, easier navigation between pages through content linking and simple security permissioning to diversify intranet management.
